Executive Assistant

The Executive Assistant provides both administrative and clerical support to the Executive Leadership Team and corporate office, either as part of a team or individually to ensure the administration and smooth running of office operations. Serves as resource to corporate staff and maintains an orderly, positive work environment.

This is a full-time, exempt position.

Essential Job Responsibilities

Promote the mission of Javara with a primary guiding principle of patient safety and well-being and building and maintaining a culture that combines the highest standard of integrity with excellence to all those Javara serves.

Specific Responsibilities

  • Provide high quality administrative support to Executive Leadership, as well as corporate staff when necessary.
  • Make travel arrangements, coordinate internal and external meetings and logistics, manage expenses within budget confines, and coordinate calendar management.
  • Plan and organize meetings, conferences, events and Board related activities.
  • Research, develop and draft letters, memos, presentations or reports for the Executives’ review.
  • Establish and maintain files and records; compile data and prepare reports when necessary.
  • Keep management advised of potential risks and recommend/implement solutions as appropriate.
  • Identify areas of improvement for office processes and articulate constructive solutions.
  • Ability to prioritize tasks and work to strict deadlines.
  • Serving as a resource to staff, this person will be considered a partner to management as it relates to collaboration, brainstorming and making policy recommendations regarding the efficiencies of administrative initiatives.
  • Will hold confidentiality as a high standard in all professional interactions.
  • Promote a self-directed work ethic and a project management acumen to support and/or manage projects assigned by leader while also managing daily administrative tasks.
  • The Executive Assistant must possess the communication skills necessary to act as an ambassador on behalf of company leadership both internally and externally. The ideal candidate will have excellent oral and written communication skills.
  • Manages corporate office logistics. Coordinates badge and parking access, conducts inventory of office supplies and works with vendor(s) to keep office stocked and orderly.
  • Maintains a positive, assertive demeanor and “can-do” attitude.

Travel Requirements

This position may involve some travel by airplane and automobile.

Required Education or Experience

  • 2-year Associate’s degree, or equivalent combination of education and experience
  • 2+ years in an Administrative type role.
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
  • Ability and willingness to learn new software systems.
  • Willingness to proactively complete tasks, sometimes with little to no notice.
  • Exceptional organization skills with respect to time management, accuracy and efficiency
 

Other Duties
